As a Team Assistant, you will play a key role in supporting the leadership team by ensuring smooth day-to-day operations and providing high-quality organisational and coordination support. Working closely with senior stakeholders and executive assistants, you will act as a central hub for administrative and operational activities.

Job Description

Core Administration & Coordination

  • Support scheduling, calendar management, and prioritisation of daily activities for senior stakeholders
  • Organise meetings end-to-end, including agenda preparation and logistical coordination
  • Manage travel arrangements such as bookings, itineraries, and related planning
  • Assist with communication tasks, including drafting emails and coordinating stakeholder interactions



Operations & Project Support

  • Independently manage smaller coordination tasks or projects with a structured and timely approach
  • Maintain and organise key documents, presentations, and meeting materials
  • Prepare supporting documents, briefings, and internal communication materials
  • Track action items and follow up with stakeholders to ensure timely progress



Events, Office & Team Support

  • Support the organisation of internal events, workshops, and team sessions
  • Coordinate logistics with both internal teams and external partners
  • Act as a professional point of contact for visitors and stakeholders
  • Ensure smooth information flow within the team and handle incoming requests efficiently
  • Manage sensitive information with discretion and professionalism
  • Contribute to a positive, collaborative, and high-performing team environment

The Successful Applicant

  • 1-4 years of experience in administrative support, coordination, or a similar role
  • Experience in a dynamic, international, or fast-paced environment is a strong advantage
  • Fluency in English and German, with strong written and verbal communication skills
  • A proactive and solutions-oriented approach with the ability to anticipate needs
  • Strong prioritisation skills and the ability to stay composed under pressure
  • High level of professionalism and discretion when handling confidential matters
  • A hands-on attitude and willingness to support across a variety of tasks
  • A confident and professional presence when interacting with stakeholders
