Job Description



As a key member of the Office of the CEO, you will play a central role in ensuring the smooth functioning of executive operations, governance activities, budgeting processes, and leadership events. You will work closely with senior stakeholders across the organisation and contribute to the delivery of high-quality administrative and coordination support in a fast-paced international environment.

Key Responsibilities

  • Coordinate budget administration, procurement activities, contracts, invoices, and reporting processes in collaboration with Finance and Procurement teams.
  • Provide administrative and logistical support to the Office of the CEO, including travel arrangements, onboarding activities, consultant management, expense processing, and contract administration.
  • Organise and coordinate senior leadership meetings, governance forums, executive retreats, town halls, workshops, and cross-functional events.
  • Support calendar management and priority coordination for the Chief of Staff.
  • Prepare presentations, meeting materials, correspondence, reports, agendas, and governance documentation.
  • Maintain effective information flow across the Office of the CEO and ensure timely follow-up of key actions.
  • Act as a key user for internal systems and support colleagues in navigating administrative processes and digital tools.

The Successful Applicant

  • At least 3 years of experience in executive support, senior administration, operations coordination, or office management within a complex and fast-paced environment.
  • Previous experience supporting senior executives or leadership teams.
  • Solid budget administration, procurement, contract management, and financial coordination experience.
  • Strong organisational skills with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent communication and stakeholder management skills.
  • Advanced proficiency with Microsoft Office applications and collaboration tools.
  • Experience working with SAP or similar ERP systems is highly desirable.
  • Fluency in English is required; French is an asset
