We are seeking a highly organized and proactive Executive Assistant to provide dedicated support to a Department Director on a 60% basis for a 4-month assignment. The successful candidate will ensure smooth day-to-day operations, manage priorities efficiently, and act as a trusted liaison with internal and external stakeholders in both French and English.

Job Description



Administrative & Executive Support

  • Manage and coordinate the Director's complex calendar, including scheduling meetings across multiple time zones
  • Organize internal and external meetings, including agendas, logistics, and follow-ups
  • Handle correspondence (emails, calls, documents) in French and English
  • Prepare presentations, reports, and briefing materials



Coordination & Communication

  • Act as a key point of contact between the Director and internal teams, clients, and partners
  • Facilitate communication and ensure timely information flow
  • Draft, review, and format documents and communications in both languages



Operational Support

  • Support planning and coordination of departmental activities and projects
  • Track deadlines, action items, and key deliverables
  • Assist with budget tracking, expense reports, and administrative processes



Event & Travel Management

  • Organize business travel, including itineraries, accommodation, and logistics
  • Support the planning and execution of meetings, workshops, or events

The Successful Applicant

  • Proven experience as an Executive Assistant or similar role, supporting senior leadership
  • Excellent organizational and time-management skills, with the ability to multitask
  • Strong communication skills in French and English (written and spoken)
  • High level of discretion, professionalism, and attention to detail
  • Proficiency in MS Office (Outlook, Word, PowerPoint, Excel) and collaboration tools
  • Ability to work independently and anticipate needs in a fast-paced environment
