Job Description

Financial Administration & Accounting

  • Oversee daily accounting transactions across payables, receivables, and ledger activities.
  • Review and process supplier invoices, employee expenses, and payment instructions.
  • Perform account reconciliations and investigate discrepancies where required.
  • Contribute to monthly and annual closing activities.
  • Maintain accurate and well-organized financial records and supporting documentation.



Reporting, Budgeting & Compliance

  • Assist in the preparation of annual budgets, forecasts, and financial planning activities.
  • Produce financial reporting packages and management summaries.
  • Monitor budget performance and highlight key variances.
  • Support external audits and coordinate with accounting, tax, and advisory partners.
  • Help ensure compliance with relevant accounting standards, VAT obligations, and regulatory requirements.



Business Operations & Administration

  • Coordinate administrative activities supporting the smooth running of the office.
  • Manage supplier relationships, service agreements, and procurement-related activities.
  • Support employee administration, payroll coordination, and documentation processes.
  • Maintain operational procedures, templates, and internal systems.
  • Assist with the planning and coordination of meetings and governance activities.



Contracts, Governance & Process Improvement

  • Maintain contract files and monitor agreement renewals and obligations.
  • Support internal compliance initiatives and governance requirements.
  • Coordinate insurance, statutory documentation, and corporate records.
  • Contribute to strengthening internal controls and operational best practices.
  • Identify opportunities to improve workflows, automate routine tasks, and enhance efficiency.



Data Management & Business Support

  • Ensure data quality across finance and operational platforms.
  • Develop reports and insights to support decision-making.
  • Participate in systems enhancements and implementation projects.
  • Provide general support on operational initiatives and continuous improvement activities.

The Successful Applicant

  • Bachelor's degree or equivalent qualification in Accounting, Finance, Business Administration, or a related discipline.
  • Fluent English, both written and spoken.
  • German language skills would be considered a plus.
  • Previous experience in accounting, finance operations, bookkeeping, or business administration.
  • Solid understanding of financial processes, reporting principles, and reconciliations.
  • Familiarity with budgeting, forecasting, and audit support activities.
  • Knowledge of Swiss accounting and VAT requirements would be advantageous.
  • Experience using accounting, ERP, and reporting systems.
  • Advanced Microsoft Excel skills and strong analytical capabilities.
  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and prioritization abilities.
  • Proactive and solution-driven mindset.
  • Ability to work independently while collaborating effectively with diverse stakeholders.
  • High level of discretion and professionalism when handling confidential information.
  • Customer-focused approach with strong interpersonal skills
