We are seeking a Team Assistant to support a team of directors on a 3-month temporary assignment. This role is fully office-based and combines classic administrative support with office management responsibilities, ensuring the smooth day-to-day running of the team and workplace. The ideal candidate is detail-oriented, service-minded, and able to manage multiple priorities in a fast-paced environment.

Job Description



Team Support

  • Provide comprehensive administrative support to the team
  • Manage calendars, schedule meetings, and coordinate appointments
  • Arrange internal and external meetings, including logistics and materials
  • Organize business travel (flights, hotels, itineraries) and handle expense reports
  • Prepare presentations, reports, and documents as required
  • Act as a point of contact for internal and external stakeholders
  • Support ad hoc projects and team initiatives



Office Management

  • Ensure smooth day-to-day office operations
  • Coordinate with external vendors (facility management, suppliers, IT support, etc.)
  • Manage office supplies and place orders when needed
  • Oversee meeting room organization and office tidiness
  • Support onboarding logistics for new joiners (desk setup, materials, access, etc.)
  • Handle incoming mail, deliveries, and general office requests

The Successful Applicant

  • Previous experience in an administrative, team assistant, or office management role
  • Strong organizational and multitasking skills
  • Excellent attention to detail and ability to prioritize effectively
  • Proactive, hands-on, and solution-oriented mindset
  • Strong communication and interpersonal skills
  • Ability to work independently and maintain confidentiality
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)
  • Fluent in English (additional languages are a plus)
