Job Description



Executive Support to the CFO

  • Act as a strategic partner and trusted right hand to the CFO, ensuring smooth day-to-day operations and effective time management
  • Proactively manage and continuously optimize the CFO's calendar, priorities, and scheduling, anticipating needs and resolving conflicts before they arise
  • Prepare the CFO for internal and external engagements through high-quality briefing notes, summaries, and talking points
  • Draft, review, and manage professional correspondence in English and French, ensuring accuracy, clarity, and appropriate tone
  • Organize and coordinate meetings, committees, and governance forums, including logistics, agendas, and supporting materials
  • Attend key meetings when required, take minutes, track decisions and action points, and ensure timely follow-up across stakeholders
  • Manage travel arrangements and complex itineraries with a focus on efficiency and alignment with business priorities
  • Handle confidential and sensitive information with the highest level of discretion and sound judgment



Financial and Analytical Support

  • Support the CFO in preparing and reviewing financial reports, dashboards, and presentation materials
  • Assist in budget planning cycles and ongoing financial monitoring activities
  • Perform financial data consolidation, basic analysis, and quality checks to ensure accuracy and consistency
  • Contribute to the preparation of materials for Board meetings, Finance Committees, and audit processes
  • Liaise with internal finance teams, external auditors, and financial institutions to ensure smooth coordination and information flow
  • Ensure that all financial deliverables are clear, well-structured, and aligned with decision-making needs



Project Coordination and Operational Support

  • Support the delivery of strategic finance and cross-functional projects by tracking timelines, deliverables, and dependencies
  • Ensure strong follow-up and execution discipline across initiatives led or overseen by the CFO
  • Identify risks, bottlenecks, or delays and proactively escalate or help resolve issues
  • Contribute to process improvement initiatives, helping to define and implement new ways of working in a newly created role
  • Assist in building structure, tools, and documentation as the function evolves



Stakeholder Management and Communication

  • Act as a key interface between the CFO and internal and external stakeholders, ensuring smooth, professional, and efficient communication
  • Build and maintain strong working relationships with senior leaders, partners, and key actors within the Geneva financial ecosystem
  • Facilitate coordination across teams, ensuring clarity, responsiveness, and alignment
  • Support the CFO in maintaining a strong external presence through well-prepared interactions and materials

The Successful Applicant

  • Proven experience as an Executive Assistant at C-level, ideally supporting a CFO or finance leader
  • Strong finance background or exposure (budgeting, reporting, financial environments)
  • Excellent knowledge of the Geneva economic ecosystem and Swiss financial landscape
  • Perfectly bilingual French / English, with outstanding written English skills
  • Strong analytical mindset with the ability to synthesize complex information
  • Highly comfortable with numbers and advanced Excel use
  • Strong prioritization and organizational skills
  • Ability to work autonomously while remaining proactive and solution-oriented
  • Tech-savvy, with excellent command of digital tools
