Job Description

  • Manage and continuously optimise a busy and evolving executive calendar, coordinating internal meetings, external appointments, board-related activities, and key strategic engagements across different regions and time zones.
  • Arrange and oversee detailed international travel plans, including flights, hotel bookings, visa requirements, ground transportation, and contingency measures. Anticipate challenges and ensure travel schedules run smoothly and efficiently.
  • Prepare daily agendas, briefing materials, meeting documentation, and relevant background information to support effective decision-making.
  • Coordinate executive and leadership meetings, including agenda preparation, meeting logistics, documentation of key discussions, and follow-up on action items.
  • Draft, edit, and review sensitive correspondence, presentations, and reports while acting as a central point of contact for executive communications.
  • Support and drive strategic initiatives and ad hoc projects, ensuring deadlines are met and objectives remain aligned with business priorities.
  • Develop strong working relationships with internal teams and external partners to facilitate efficient collaboration and communication.
  • Oversee administrative activities within the CEO's office, including budget monitoring, process coordination, and cross-functional support.

The Successful Applicant

We are looking for a highly professional and flexible Executive Assistant with extensive experience supporting a CEO within a dynamic international environment.

Your Profile:

  • Degree in Business Administration or a comparable qualification
  • Minimum 8 years of experience supporting C-suite leaders, ideally at CEO level, within a multinational organisation
  • Solid experience managing complex calendars and international travel logistics across multiple regions
  • Outstanding organisational, coordination, and project management capabilities
  • Strong sense of discretion, professionalism, and emotional intelligence
  • Fluent English skills; additional languages would be advantageous
  • Advanced proficiency with Microsoft Office applications and modern collaboration tools
  • Highly proactive, flexible, and solution-focused approach to work
