The Personal Assistant supports the Principal by managing all administrative, organisational, and logistical matters to ensure optimal efficiency in daily operations. This is a full‑time Personal Assistant equiring a high level of discretion, autonomy, and reliability. French, English and Spanish should be spoken at a fluent level.

Job Description



Executive & Personal Support

  • Proactively managethePrincipal's agenda,including:
    • Scheduling meetings and conference calls
    • Coordinating travel arrangements and reservations
    • Managing personnel schedules and timetables
  • Act as a trusted point of contact, ensuring smooth communication and organisation across all activities.



Office & Administrative Management

  • Oversee general office administration and organisation
  • Manage incoming and outgoing mail
  • Maintain and update databases and records
  • Handle inventory management and office supplies
  • Coordinate home and office maintenance, troubleshooting issues as they arise
  • Manage relationships with external suppliers and service providers



Accounting & Financial Administration

  • Process and record invoices in the internal accounting system
  • Ensure timely payment processing (Winbiz)
  • Support basic accounting and financial administration tasks with accuracy and attention to detail

The Successful Applicant



Required Experience & Qualifications

  • Relevant education enabling the successful performance of Executive/Personal Assistant duties
  • Significant experience in a Personal Assistant, Executive Assistant, or similar role
  • Solid accounting experience and confidence working with financial data
  • Strong professional presence and excellent interpersonal skills
  • Fluency in French and Spanish; English is also required
  • Excellent written communication skills



Technical Skills

  • Strong proficiency in Microsoft Word and Excel
  • Experience with Winbiz is a strong asset
