This role supports the smooth delivery of portfolio activities throughout the grant lifecycle and contributes to effective collaboration with internal and external partners.

Portfolio and Stakeholder Support

  • Provide coordination and logistical support for meetings, workshops, and engagements with internal and external stakeholders, both in person and online.
  • Support the planning, budgeting, and delivery of regional and portfolio‑level events involving diverse partners.
  • Assist in the preparation and distribution of briefing notes, presentations, and training materials.



Information and Data Management

  • Coordinate the administration of grant‑related entity data, including reviewing, validating, and processing change requests in line with established procedures.
  • Ensure partner and stakeholder records and related documentation are kept accurate and up to date in corporate systems.
  • Maintain organized digital filing systems and support effective information flows across teams.
  • Provide administrative support for collaboration platforms (e.g. shared workspaces and team sites), including setup, maintenance, and user onboarding.
  • Support document translation processes and quality checks when required.



Team Operations and Business Support

  • Contribute to operational planning, progress tracking, reporting, and budget monitoring for assigned workstreams.
  • Coordinate business travel arrangements for staff and external participants, ensuring compliance with security and internal requirements.
  • Track travel‑related expenditures and execution rates as delegated.
  • Apply standard procedures to manage access rights to digital tools and communication channels.
  • Support procurement‑related processes for suppliers and service providers when required.
  • Assist with onboarding activities for new team members and support team initiatives that promote collaboration, wellbeing, and effective teamwork.
  • Provide administrative support for specific budget oversight activities when requested.



Grant Lifecycle Support

  • Provide administrative and coordination support for standard grant management processes, ensuring documentation, data inputs, and stakeholder contributions are handled in line with agreed requirements.

Profil recherché

  • University degree in business administration, public administration, finance, international relations, social sciences, or a related field, or equivalent professional training or relevant work experience.
  • Experience in a portfolio support, coordination, or operations role.
  • Experience working with digital platforms and systems used for monitoring processes and managing information.
  • Demonstrated ability to manage multiple tasks, meet deadlines, and adapt in fast‑paced environments.
  • Experience with basic budget tracking or financial monitoring.
  • Strong organizational skills and attention to detail.
  • Excellent command of English (written and spoken).
  • Knowledge of additional regional languages is an asset.
