About Our Client

Our client is based in Geneva.

Job Description

  • Organise complex travel for a large team, including flights, hotels, visas, insurance and transfers.
  • Support the preparation and follow‑up of expense claims.
  • Process invoices and assist with contract preparation in coordination with the legal team.
  • Maintain and update electronic files, shared folders and digital archives.
  • Handle administrative follow‑up of projects and teams.
  • Coordinate workshops, online sessions and in‑person meetings.
  • Assist with meeting scheduling, room bookings and general office logistics.
  • Provide backup assistance for other admin team members during leave or workload peaks.



The Successful Applicant

  • 2-5 years of experience in a similar administrative or coordination role.
  • Strong command of MS Office (Word, Excel, PowerPoint) and digital tools.
  • Fluent in French and English (spoken and written).
  • Strong organisational skills, attention to detail and ability to multitask.
  • Comfortable handling confidential information.
  • Positive, proactive "can‑do" attitude.
  • Flexibility and ease working with a variety of tasks and personalities.
  • Good communication skills and diplomacy.
  • Ability to work under tight deadlines and adapt to shifting priorities.
  • Cultural awareness and openness in a diverse environmen
