Job Description

Reports to Head of Project Management Office

Key Responsibilities

1. Data compliance:

  • Provide administrative support to Project Managers, ensuring accurate and timely updates of project status (timelines, resources, risks, budgets) in the Keyedin system.
  • Prepare portfolio reports (quarterly and ad hoc) on project progress and finances.
  • Create, update, and analyze reports using Qliksense and Excel.
  • Manage centralized PMO communications and ensure implementation of PMO policies.
  • Promote a project management culture across the organization.
  • Perform miscellaneous duties using SharePoint, Forms, PowerPoint, PowerApps, and Microsoft Flow as neede.



2. System administration as super-admin:

  • Manage KeyedIn licensing and yearly budget.
  • Extract and analyze data as needed, and build ad hoc reports.
  • Handle KeyedIn configuration (widgets, custom fields, etc.).
  • Address and resolve user support requests, ensuring customer issues are resolved.
  • Maintain and update the KeyedIn Wiki.
  • Provide KeyedIn training, both in-person and online, based on needs.



3. Process Improvement project (PM culture project)

  • Review and update processes with business representatives.
  • Oversee PMO secondees program, PPM tool assessments, and implementation.
  • Monitor updated Project Management and PMO processes.
  • Ensure training sessions are implemented.

Qualification and experience

  • Proven experience or studies in the field of project management (BSc or MSc Degree in a related field and some years of exposure to project management highly preferred)
  • IT skills, thorough knowledge of Microsoft Office applications (experience in Microsoft flow, PowerApps, MS Project, SharePoint and other tools are an asset) training in KeyedIn will be provided), and passionate about learning and playing with new IT tools preferred (Microsoft tools and others)
  • Excellent organization skills and time-management skills, detail-oriented and efficient
  • Ability to manage multiple priorities, trouble-shoot, and to meet short- and long-term deadlines
  • Ability to work effectively independently and as a team member with diversity and multi-disciplinary teams
  • Fluency in English and French with excellent written and verbal communication skills
  • Ability to work precisely at a detailed level whilst maintaining focus on the higher-level objectives. You have a positive attitude to change and progress, you are solution oriented, and quality is a key element for you.
