Job Description

Key responsibilities:1. Administrative Support

  • Manage schedules and appointments.
  • Organize travel arrangements (ticket booking, hotels, logistics).
  • Prepare and monitor correspondence (emails, letters).
  • Handle administrative documents (invoices, contracts, confidential files).
  • Process calls, messages, and screen requests as appropriate.



2. Project Coordination

  • Coordinate and track specific projects (investments, real estate management, events).
  • Prepare and follow up on reports and briefing documents for management.
  • Oversee budgeting and manage timelines.
  • Collaborate with external partners (lawyers, accountants, financial advisors) to ensure deliverables are met.
  • Conduct research on development opportunities and keep up with relevant news impacting the family office's activities.



3. Logistical Support and Event Planning

  • Organize family events, meetings, and professional appointments.
  • Coordinate with external vendors (caterers, venues, etc.).
  • Manage invitations, confirmations, and event logistics.

The Successful Applicant

Desired profile & Required skills

  • Degree in administration, management, or related field.
  • At least 3 years of experience in a similar role, ideally within a family office or private structure.
  • Excellent written and spoken French and English.
  • Proactive, with a high degree of autonomy in decision-making.
  • Organizational and Time Management Skills: Ability to prioritize tasks and manage multiple projects simultaneously.
  • Versatility and Adaptability: Responsiveness and flexibility to handle diverse requests.
  • Interpersonal Skills: Discretion, a service-oriented mindset, and strong communication skills.
  • Technical Proficiency: Proficient in Microsoft Office Suite, project management tools, and other communication software.
  • Attention to Detail and Confidentiality: Strong commitment to confidentiality and meticulous handling of sensitive information.
