Job Description

As an Executive Assistant / Office Manager, you will play a central role in ensuring the smooth day-to-day operations of the office. You will act as the key coordination point between managers, administrative staff, and clients, while also providing high-level executive support.Office & Front Desk Management

  • Oversee the front desk operations and ensure a high standard of client reception
  • Manage a complex and dynamic scheduling agenda for multiple stakeholders
  • Coordinate client appointments, including a high volume of international clients
  • Ensure smooth client flow and optimal agenda utilization
  • Maintain a professional and welcoming environment at all times



Team Coordination

  • Supervise and coordinate a team of part-time administrative staff
  • Allocate and prioritize tasks across the secretarial team
  • Ensure efficient communication and collaboration within the team
  • Identify areas for process improvement and implement best practices



Executive & Administrative Support

  • Provide executive/personal assistance to the CEO
  • Manage calendars, including international events
  • Support with general administrative tasks, correspondence, and documentation
  • Assist with internal coordination and ad-hoc projects



Operational Support

  • Contribute to the structuring and optimization of administrative processes
  • Support basic HR or accounting-related administrative tasks when needed
  • Ensure confidentiality and compliance with data protection standards



The Successful Applicant

A successful Executive Assistant / Office Manager should have:

  • Proven experience in office management, front desk supervision, executive/personal assistance
  • Strong organizational skills with the ability to manage complex schedules
  • Experience in coordinating teams (direct or indirect supervision)
  • Comfortable working in a fast-paced and growing environment
  • Excellent interpersonal and communication skills; confident and service-oriented
  • Fluency in French and English (mandatory)
  • Strong administrative and coordination skills
  • Good command of office tools (MS Office, scheduling systems)
  • Basic knowledge in accounting or HR is a plus
