Job Description

As the Executive Assistant to the SVP, you will provide comprehensive administrative and secretarial support, ensuring smooth and efficient operations within the executive office. This high-level role requires exceptional organizational skills, professionalism, discretion, and the ability to manage both professional and personal matters for the SVP.

Key Responsibilities:

  • Administrative Support: Manage the SVP's calendar, schedule meetings, and coordinate travel arrangements.
  • Communication: Handle correspondence, draft emails, and prepare documents and presentations.
  • Meeting Coordination: Organize and prepare materials for meetings, take minutes, and follow up on action items.
  • Office Management: Maintain office supplies, manage filing systems, and ensure the office operates smoothly.
  • Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
  • Personal Assistance: Assist with personal tasks and errands as needed to support the SVP's work-life balance.
  • Project Management: Support special projects and initiatives as directed by the SVP.

The Successful Applicant

  • Experience: Proven experience as an Executive Assistant, preferably supporting C-level executives in an international setting.
  • Education: Bachelor's degree in Business Administration, Communications, or a related field is preferred.
  • Skills: Exceptional organizational and time management skills, excellent communication abilities, proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Language: Fluency in English is required; proficiency in French is highly desirable.
  • Attributes: High level of professionalism, attention to detail, ability to handle multiple tasks simultaneously, and a proactive approach to problem-solving.
