Administrative SupportAdvanced Calendar Management

  • Manage a complex and fast‑moving calendar, scheduling internal and external meetings and appointments.
  • Anticipate and resolve conflicts, ensuring alignment with strategic priorities.



Travel Coordination

  • Organise domestic and international travel, including flights, accommodation, visas, and transportation.
  • Maintain information on travel preferences to optimise efficiency.



Correspondence & Communication Management

  • Screen and prioritise communications on behalf of the CEO.
  • Draft and prepare emails, memos, letters, and other documents as needed.
  • Flag time‑sensitive items requiring immediate attention.



Meeting Preparation & Follow‑Up

  • Prepare agendas, briefing materials, and presentations for leadership meetings.
  • Conduct background research to support key discussions.
  • Take accurate minutes and track follow‑up actions.



Document & Data Management

  • Organise and maintain secure physical and digital files, including contracts and reports.
  • Maintain centralised databases for contacts and key documents.
  • Ensure confidentiality and proper document governance.



Expense Tracking & Reporting

  • Prepare and reconcile expense reports.
  • Monitor budgets for travel, events, and other CEO‑related activities.

Anforderungsprofil



Experience & Background

  • 5-10+ years of experience as an Executive Assistant or similar role supporting senior executives.
  • Experience in fast‑paced environments (corporate, consulting, finance, technology, or international organisations).
  • Strong understanding of business dynamics and organisational structures.



Skills & Competencies

  • Outstanding organisational skills and exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Strong ability to synthesise information and produce clear presentations.
  • High proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word).
  • Ability to manage multiple priorities with calm and professionalism.
