Job Description
Administrative Support:
- Provide comprehensive administrative support to the CEO and CHRO, including managing calendars, scheduling meetings, and organizing travel arrangements.
- Handle all administrative tasks with efficiency and accuracy, ensuring the smooth operation of daily activities.
Communication:
- Act as the primary point of contact between the executives and internal/external stakeholders.
- Manage correspondence and communications, ensuring all messages are conveyed accurately and promptly.
- Draft, edit, and proofread emails, reports, and other documents on behalf of the executives.
Meeting Coordination:
- Coordinate and prepare for executive meetings, including creating agendas, organizing materials, and ensuring the executives are well-prepared.
- Take minutes during meetings, follow up on action items, and ensure timely completion of tasks.
Project Management:
- Assist in the planning and execution of special projects, ensuring they are completed on time and within scope.
- Work closely with various departments to coordinate project activities and ensure alignment with organizational goals.
Event Planning:
- Organize and coordinate company events, both internal and external, such as conferences, workshops, and social gatherings.
- Ensure all logistical details are handled efficiently, from venue selection to catering and transportation arrangements.
Document Management:
- Prepare, review, and manage documents, reports, and presentations, ensuring accuracy and confidentiality.
- Maintain organized records and filing systems, both digital and physical.
Office Management:
- Oversee office operations to ensure a smooth and efficient working environment.
- Liaise with vendors, manage office supplies, and handle maintenance requests.
Executive Liaison:
- Act as a liaison between the CEO, CHRO, and other members of the executive team.
- Ensure seamless communication and coordination across departments.
The Successful Applicant
- Experience: Minimum of 5 years of experience as an Executive Assistant, preferably in an international or corporate environment.
- Skills:
- Excellent organizational and time management skills.
- Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills in English; proficiency in French is a plus.
- Attributes:
- High level of integrity and discretion in handling confidential information.
- Ability to work independently and as part of a team.
- Strong attention to detail and proactive problem-solving skills.
