About Our Client

Our client is an international organization active in the healthcare sector. We are looking for a dynamic and experienced (Senior) Administrative Assistant / Administrative Expert to support senior executives within one of their divisions.

Job Description

In this role, you will provide comprehensive administrative support to multiple senior leaders across different therapeutic areas. You will ensure seamless coordination, efficient communication, and proactive handling of administrative responsibilities in a fast-paced and international environment.

Key Responsibilities:



  • Provide high-level administrative assistance including complex calendar management, travel arrangements, meeting coordination, and preparation of materials


  • Organize international and domestic travel in line with current internal policies


  • Maintain up-to-date team documentation such as organizational charts, distribution lists, and content on collaboration platforms (e.g., MS Teams)


  • Support leaders in planning and executing internal and external events, including logistics and vendor coordination


  • Facilitate onboarding and offboarding processes for new and departing team members (upon request)


  • Serve as a reliable point of contact for internal and external stakeholders, ensuring smooth and professional communication


  • Assist with budget tracking and expense reporting in collaboration with the Project Operations Manager (POM)


  • Ensure administrative tasks and requests are executed efficiently and on time


  • Monitor industry trends and best practices related to administrative operations (optional)

The Successful Applicant



  • Bachelor's degree in Business Administration, Commercial Training, or a related field


  • Several years of experience supporting senior executives in an international and matrixed environment


  • Excellent organizational and multitasking abilities, with a strong attention to detail


  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)


  • Fluent in English (written and spoken); other languages are an asset


  • Strong interpersonal skills and the ability to maintain confidentiality


  • Proactive, independent, and solution-oriented mindset


  • Flexible, reliable, and able to adapt to changing priorities
